Request for Proposal (RFP): Catering Services for Kerikeri Golf Club
Introduction:
Kerikeri Golf Club is seeking proposals from qualified catering contractors to provide quality catering services to the Club onsite for members, guest meals and casual visitors, and special occasions including Club events and member functions.
The Club is situated at 26b Golf View Rd, Kerikeri and has been an incorporated society since 1970. It provides practical facilities for golfers, a social environment for the area with licensed premises and special events. There is a catering facility onsite equipped and functional with a range of new and used plant and equipment. The club is responsible for the repair and maintenance, and where necessary replacement of its plant and equipment where such repair, maintenance, replacement is through normal wear and usage. The Catering Contractor is able to provide their own preferred items of equipment, however servicing and maintenance for those items will then become the responsibility of the Catering Contractor. All equipment and inventory supplied by the Club will remain the property of the Club.
Scope of Services:
The Catering Contract is for the provision of quality catering services to the Club onsite for members and guest meals, and special occasions including Club events and member functions. There are many locals and visitors that frequent the venue and historically they have been able to access a good range of low to reasonably priced menu selections typical of a Club environment. The Club currently has a mix of busy nights and quieter nights and there is a great opportunity for a savvy operator to develop and market the kitchen operation and menu to boost their clientele base, with support from the Club. We aim to enhance the overall experience of our members, guests, and other visitors by offering high-quality food options 7 days per week that align with our Club’s standards and values.
The Club is seeking a Catering Contractor that:
- Understands the catering needs of a sports club
- Understands the environment and what drives customer sales
- Is keen to bring flair and creativity to their operation.
- Is experienced in the timely production of good quality fresh food at reasonable prices
- Can accommodate the demands of busy event nights without sacrifice to service or quality
- Is willing to promote their wares to the members and visitors
- Desires to work in unison with Club staff to provide a positive dining experience always.
The kitchen facilities can be used for additional commercial activities such as market stall or other outside food preparation, provided there is no negative impact to the service provided to the Club’s patrons. The kitchen cannot be sub-leased to other third parties unless otherwise negotiated.
Services Required:
The catering services shall include, but not be limited to:
- Menu Planning: Designing diverse and appealing menus suitable for different types of events and dietary preferences.
- Food Preparation: Preparation of high-quality food items using fresh ingredients.
- Presentation: Ensuring attractive and professional presentation of food.
- Staffing: Providing skilled and courteous staff members for setup, service, and cleanup.
- Dietary Accommodations: Offering options for guests with dietary restrictions or preferences.
- Equipment and Supplies: Providing all necessary equipment, utensils, and serving ware.
- Compliance: Ensuring compliance with all health and safety regulations and obtaining any necessary permits or licenses.
Proposal Submission:
Interested vendors are invited to submit their proposals no later than Friday 14 February. Proposals should include the following:
- Company Profile: Background information about the catering company, including experience in providing catering services for sports clubs or similar organisations.
- Proposed Menus: Sample menus with pricing for various types of events.
- References: Contact information for at least three references from previous clients.
- Pricing: Indicative pricing structure including any additional fees or charges.
- Compliance: Confirmation of compliance with health and safety regulations and any relevant certifications or licenses.
- Additional Services: Any additional services or amenities offered by the catering company.
